How to prepare your organisation for the EUDR

How to prepare your organisation for the EUDR

The new European Deforestation Regulation (EUDR) requires companies to demonstrate that their products are deforestation-free. The deadline for large companies is 30 December 2025, and for SMEs, 30 June 2026. Proper preparation takes time, and the obligations vary depending on the type of company. Pantarein has developed a tailored approach. Below, we explain what the EUDR entails, how our roadmap is structured, and why a customised approach makes all the difference.

Due Diligence

What does the EUDR mean for your company?

The EUDR is a gamechanger for companies working with high-risk commodities such as cocoa, coffee, soya, palm oil, wood, rubber or cattle – as well as derived products such as leather, chocolate or furniture. From the end of 2025, companies must be able to demonstrate that their products:

  • are deforestation-free;
  • have been produced in compliance with the national legislation of the country of origin;
  • are covered by a due diligence statement.

The rules apply not only to importers and producers, but also to distributors and retailers within the EU. Large companies are also required to publicly report on their due diligence approach and measures taken, and to have them audited.

Setting up a workable EUDR track in two modules

The EUDR can have a significant impact on your supply chain and internal operations. Thorough preparation is essential. Pantarein guides companies with a phased approach:

  • Step 1 – Preparation & kick-off
    We start with a kick-off workshop and jointly select a few test cases. We make practical arrangements, align expectations and ensure internal engagement.
  • Step 2 – Value chain analysis
    We map the supply chain for each product category: from raw material to customer. This provides insight into relevant actors, risks and required documentation.
  • Step 3 – EUDR scoping of EUDR application
    We analyse whether and how the EUDR applies to your products, based on factors such as commodity type, origin, product category, and import/export activities.
  • Step 4 – Gap analysis
    We test to what extent you already comply with EUDR requirements. We identify any gaps and formulate targeted improvement actions.
  • Step 5 – Developing the due diligence process
    We build a practical and compliant due diligence process, centred around three steps: data collection, risk assessment and risk mitigation.
  • Step 6 – EUDR roadmap
    We develop an internal working model, including clear roles, processes, procedures and timelines.
  • Step 7 – Roll-out
    We roll out the system in phases across relevant product flows, supporting implementation, registration, and integration into daily operations.
  • Step 8 – Public reporting
    Large companies must disclose their due diligence approach and measures. This can be done via their website, annual report or sustainability report.

Our roadmap is suitable for both large companies and SMEs. While the core obligations are the same, SMEs can implement a simpler due diligence process and are exempt from the reporting requirement.

Why start working on EUDR compliance now?

The EUDR requires not just legal compliance: it requires deep supply chain insight, structural adjustments in operations and robust reporting. Starting early – with a practical, test-oriented approach – reduces the risk of unpleasant surprises or penalties and helps build knowledge and support within your organisation. It also lays the groundwork for credible sustainability. A step-by-step approach ensures the transition remains manageable and realistic.
